AI for manufacturing: faster quotes, less know-how locked in people's heads

AI for manufacturing: AI per Aziende, an Italian studio, builds custom tools for small and mid-sized manufacturers, machine shops and fabricators. The AI drafts quotes from customer RFQs, answers staff questions from your manuals and procedures, and captures after-sales requests in full. It starts with a free 30-minute call.

  • Free discovery call
  • A working demo before you sign
  • You approve every step

Where the day goes

  • RFQs pile up in the inbox

An email arrives with a drawing, quantities and material. Answering it needs an engineer, purchasing and an hour of calculations nobody has. The quote goes out a week later, after the customer has picked another supplier.

  • Know-how lives in two people's heads

How to set up that machine, which supplier handles that alloy, which procedure applies to that customer: the shop-floor supervisor and the senior technician know. When they're on holiday, or retire, the plant slows down.

  • After-sales calls arrive with no data

The customer phones: 'the machine keeps stopping'. No serial number, no photo, no error code. Your technician spends half an hour just working out what they're dealing with, before fixing anything.

  • The same answers, rewritten by hand

Datasheets, certificates, lead times, supply terms: sales staff rewrite similar replies every day from documents scattered across shared drives and old attachments.

What the AI actually does

Draft quotes straight from RFQs

Forward the request and the AI extracts material, quantities, operations and deadlines, compares it with similar past quotes and drafts the quote with your line items. The person responsible checks and decides prices and lead times; no quote goes out on its own.

Example
Monday, 9 am: an RFQ for 400 stainless flanges drilled to drawing. By 10 the sales lead has a draft listing the operations, plus three similar past quotes for reference. They adjust the price and send it before lunch.

An internal assistant that knows your documents

Load your manuals, procedures, work instructions and datasheets, and staff ask questions in plain language from a PC or phone. The assistant answers and points to the document the information comes from; if the answer isn't there, it says so.

Example
A new operator on the night shift asks how to change over line 2. The assistant answers with the steps from your internal procedure and the page reference, instead of a call that wakes up the supervisor.

Service requests captured in full

On your website or WhatsApp, the assistant asks customers for the serial number, model, error code and a photo of the panel or fault, and builds a ticket ready for your technician. The technical answer to the customer always comes from a person.

Example
An overseas customer writes in the evening that the machine is showing an alarm. Next morning the technician finds a ticket with the serial number, a photo of the panel and the code, and knows which spare part to check before calling back.

Shift reports dictated, not typed

At the end of a shift the team leader dictates output, downtime and issues. The AI turns it into a clean report management reads in the morning, with no forms to copy out.

Example
At 10 pm the shift lead sends a one-minute voice note on Telegram: two hours of downtime on press 3 for a faulty sensor, everything else normal. At 7 am the owner gets all three shifts summarised in a single message.

Custom software for the missing process

Every plant has a step run on spreadsheets and phone calls: contract-job scheduling, non-conformances, supplier chasers. We build it starting from the real problem.

Example
A contract manufacturer wants to see each morning which jobs are running late and why: we build the summary that pulls together data it already collects.

How we get started

Three steps, and the first one is a no-strings conversation.

  1. 1

    Free intro call

Thirty minutes online with whoever knows the process, even just the owner. We start from one concrete case: a slow quote, a manual nobody can find, a messy after-sales queue. If AI isn't the right tool, we say so.

  2. 2

A prototype on your real documents

We build a first version on a sample of your actual material: past RFQs, procedures, datasheets. You judge it on cases you already know, so you can tell whether the answers are right.

  3. 3

Rolled out on the floor and in the office

The people who need it start using it, we fix errors together and extend it to the documents still missing. Every quote and every customer reply passes through someone in your company.

Why AI per Aziende

Decisions stay with your people

The AI extracts, searches and drafts, but prices, lead times and technical replies to customers are always approved by someone in your business.

Custom software, not configured packages

Management tools, WhatsApp and Telegram bots and data programs are what we write to order, and three industry-specific platforms of ours are already live. A morning summary of late jobs or a searchable archive of past quotes is that kind of job.

Your know-how stays in-house

Ending the work with us costs you nothing you built: the code and instructions remain yours. Drawings, past quotes and procedures serve only your assistant and never become training material for other models.

Frequently asked questions

How can a small manufacturer use AI?

Start with the office work that slows production down: drafting quotes from customer RFQs, answering staff questions from manuals and internal procedures, and capturing service requests in full. You don't need to rebuild the factory. Pick one process that costs time every day and build the tool around that, then extend it once it works.

Can AI produce quotes instead of my sales team?

It can draft them, not set the price. It reads the RFQ, extracts material, quantities and operations, finds similar past quotes and fills in the line items. The person responsible checks costs and lead times, corrects and sends. The quote goes out in hours instead of days, and the commercial decision stays with whoever knows the customer.

Can the AI answer questions from our technical manuals?

Yes. We load your manuals, procedures and datasheets, and the assistant answers staff questions, always showing which document the information comes from. If the answer isn't in the documents, it says so rather than making something up. That's why it pays to start from up-to-date documents: answer quality depends on what we feed it.

Does it need to connect to our ERP?

Not to get started. We don't currently connect directly to existing ERP or management systems: we work from documents, exports and emails you already have. That lets you try AI quickly without touching production systems. If a connection becomes necessary later, we assess together whether it can be done and whether it's worth it.

Do our drawings and technical documents stay confidential?

Your documents are used only to run your own assistant and are never used to train other models. The tool's code and instructions remain yours even if you stop working with us. On the call we agree which documents to load and which to keep out, starting with only what's genuinely needed.

How much does AI cost for a manufacturing business?

It depends on the process and the volume of documents: an assistant answering from fifty procedures is a different job from a system that reads RFQs and compares them with years of past quotes. On the free 30-minute intro call we pick one process to start with, then send a written price before any work begins.

How soon will we see a first result?

We start from a sample: twenty or so past quotes, or the procedures for one line. After the call the prototype is usually ready within a few working days, and you test it on cases you already know, such as last year's quote or a recurring fault. Rolling it out to other departments is planned only afterwards.
